Data download

Introduction

Download your survey data from the Data > Records area of the software. Click Download data to adjust export settings.

The export includes a row for each respondent, with columns for the respondent ID, server data, and responses to general interview questions. Responses for exercises (like MaxDiff or conjoint analysis) can be downloaded from the Analysis tab next to the exercise results.

By default, only completed records are included. Adjust filters to include respondents with other finalized statuses. If you want to include responses from participants who haven’t completed the survey, you’ll need to expire their records first. For guidance on expiring records, see the Expire records article.

Download settings

When exporting the data, a dialog appears that includes a few settings.

These settings include:

  1. File type: Select Excel or SPSS.
  2. Include question text: This will add additional row to your export that includes the question text.
  3. Respondent selection: Choose to export selections as numeric values (1, 2, 3) or label text (Blue, Red, Green).
  4. Variable names: For questions (variables) with multiple columns that include the list item text, choose to export items as numeric values (1, 2, 3) or label text (Blue, Red, Green).

    For example, a multi-select question will have a column for each item in the list. They can be displayed as:

    Colors_1 , Colors_2 , Colors_3

    or
    Colors_Blue , Colors_Red, Colors_Green

Respondent ID

The respondent ID is the first column in a record. By default, the ID is labeled as Record ID and each respondent’s unique value is automatically assigned when the respondent enters the survey.

If you define a variable and mark it as a Unique ID in the variable manager, that variable will show up as the first column, before the Record ID.

Respondent status

This column shows the status of each respondent whether complete, incomplete, or disqualified. Learn more about respondent status in the Study summary article.

Question reporting

Each question along with the respondent's selections are recorded in the spreadsheet. Different question types may display responses differently.

Single-select

Responses are displayed in a single column labeled with the question name. The cell contains a number representing the selected option’s position in the list. For example, if a respondent selects "Orange" as the fifth list item, the number "5" will appear in the cell.

A column is shown for each row, labeled as "Question name_r#" (where r# refers to the row number). Each cell below displays the respondent's selected option for the row. For example, if the row asks respondents to rate an item on a scale of 1-5 and a respondent selects 3, the corresponding cell in the spreadsheet will show "3."

Multi-select

For a multi-select question, each response option is represented by a separate column, labeled as "Question name_#." A "1" is displayed if the respondent selected the option, and a "0" is shown if they did not select it.

In a multi-select question, each response option corresponds to a distinct column labeled "Question name_#". A "1" indicates that the respondent selected the option, while a "0" indicates that the option was not selected.

Numeric

Responses are displayed in a single column, with the question name at the top. The number in the cell below is the numeric value provided by the respondent.

Columns are labeled as "Question name_r#_c#" (where r# represents the row item number and c# represents the column item number), followed by a listing of all subsequent rows and columns. The number shown in each cell corresponds to the numeric value provided by the respondent.

A column is shown for each list item, labeled as "Question name_#" (# representing the list item number). The number shown in each field corresponds to the numeric value the respondent provided.

A column is shown for each list item, labeled as "Question name_#" (# representing the list item number). Each field contains the rank assigned to the item.

Open-end

Open-end questions are displayed under the column titled "Question name." Responses are shown just as respondent entered them.

Text entry

If a list item includes the text entry option (allowing respondents to enter their own response), it appears in the order it was added to the list. The corresponding column in the data export is labeled "Question name_#_TextEntry," and the cell value contains the text entered by the respondent.

Blank fields

Blank fields may appear in a spreadsheet for several reasons:

  • The question was not required, and the respondent chose not to answer it.
  • The response option was unavailable at the time the respondent took the survey (you add a list item after someone has already taken the survey).
